This is how your mail gets to us
To scan your mail, we first redirect it to one of our scan centers in Germany. There are various ways to do this:
- Automatic redirection all letter mail via forwarding order*
- Transfer of the Caya mailbox address to selected correspondence partners
- Automatic redirection selected letter mail (e.g. for a department) via rerouting
- Daily collection of your mail by Caya at your location

This is how we scan your mail
As soon as your mail arrives at the scan center*, it is prepared for scanning, then scanned and then archived in our short-term archive. An overview of the steps:
- Your mail is sorted by format, opened by machine, removed from the envelope and prepared for scanning.
- Your mail is digitised in milliseconds by our production scanners.
- Your mail is then stored in our short-term archive and later, depending on your plan, destroyed or sent to you.
*Our scan centers are all located in Germany and are ISO certified.
This is how we make your mail available
It only takes a few hours from receipt to delivery of the digital document. The decisive process is the transfer of documents from the scan center to you. There are various ways to do this:
